Overview
Barn Owl Trust is a local Conservation Charity based in Ashburton, Devon, UK. We are seeking a diligent and proactive Administrative Assistant to join our busy and friendly team. This role is essential in ensuring the smooth operation of our office by providing comprehensive administrative support. The ideal candidate will have recent admin experience and possess strong organisational skills and a keen attention to detail, enabling them to manage multiple tasks efficiently.
The successful applicant will be familiar with routine office systems such as using a database, excel spreadsheets, record keeping, filing, stock control, and other processes. They will be required to answer the phone, and deal with email enquiries (after training), but will mainly focus on our supporter schemes, plus ensuring the efficient and smooth running of our online shop sales and other routine office duties
Ideally, we would like to attract someone who has some experience of writing promotional material, and attractive and informative social media posts. However, it’s more important to us to ensure we recruit a capable, friendly person with up-to-date administrative experience, and a willingness to become an active and key member of our Admin Team. This is a supportive role, purely administrative and should not be viewed as a pathway into a hands-on conservation role within the Trust.
Responsibilities
- Being an effective and key player in our small but efficient admin team
- Administering the Owl Adoption and Friends schemes
- Provide clerical support, including data entry and maintaining accurate records.
- Manage office correspondence, including emails and phone calls, demonstrating excellent phone etiquette.
- Telephone reception and greeting visitors, and dealing with general enquiries.
- Passing clear messages and prioritising enquires to the Conservation Team.
- Maintain an organised filing system for both physical and digital documents.
- Contributing to newsletters and Feedback Magazine, and social media posts
- Supervise Office Volunteers, as required
- Perform general office duties such as ordering supplies and maintaining office equipment.
Skills
- Proficiency in computerised systems and software applications, particularly Google Suite and Word, Outlook, and Excel.
- Strong clerical skills with a focus on accuracy in data entry tasks.
- Excellent organisational abilities to manage multiple priorities effectively.
- Demonstrated administrative skills with a commitment to providing high-quality support.
- Ability to type efficiently with attention to detail.
- Strong communication skills, both written and verbal, with a professional phone manner.
- Fluent and accurate in written and spoken English.
- Able to work effectively and efficiently under pressure.
