Position Overview:
We are looking for an experienced administrator to provide comprehensive support to our Managing Director of Australia and the management team. The ideal candidate will be a highly organized professional with strong PA or administration experience, and be able to demonstrate exceptional communication skills and a strong ability to manage multiple tasks efficiently. This role requires a proactive individual who can anticipate the needs of the management team and handle a variety of administrative support tasks.
Key Responsibilities:
- First point of contact for the management team.
- Manage complex schedules, including diary management, meetings, travel and accommodation requirements.
- Prepare and edit correspondence, reports, and presentations as needed.
- Coordinate and facilitate communication between the management team and internal/external stakeholders.
- Organize and manage special projects and events, ensuring timely and successful completion.
- Handle confidential information with discretion and professionalism.
- Perform administrative tasks such as assisting with veterinary clinic practice onboarding, new staff onboarding, expense reporting, and supply ordering.
- Anticipate the needs of the management team and proactively address issues or concerns.
Qualifications:
- Secretarial or Business Administration qualification or equivalent is preferred.
- Minimum of 5 years of experience as a Personal Assistant or in a similar administrative role.
- Exceptional organizational and time-management skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
