Job Summary:
We are seeking an organised and detail-oriented Office Administrator. The Office Administrator will play a vital role in ensuring the smooth operation of our office and contributing to the overall efficiency and effectiveness of our training company.
Our business/industry is fast-paced and very reactive. We are looking for a highly versatile candidate who can adapt to quick change and many moving parts, as our day-to-day is always different.
Construction industry-related experience is preferred for this role.
Duties:
- Perform general administrative duties, including answering phone calls, managing correspondence, and organising files and documents.
- Preparing paperwork for courses, this includes sending off notifications to awarding bodies, sending joining instructions to clients, resulting course paperwork
- Inputting data onto the CRM system and keeping up to date training records. Learning the CRM system to learn how to set up automations, adding course dates onto the system to display on the website, scanning paperwork and allocating to the correct course date
- Provide excellent phone etiquette when interacting with clients, taking down details of courses required, when, where etc
- Perform other administrative tasks as assigned.
Skills:
- Proficient in computerised systems and software applications, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides).
- Strong administrative and clerical skills with attention to detail.
- Excellent organisational skills with the ability to prioritise tasks effectively.
- Experience with SageOne or similar accounting software is a plus but not essential
- Strong data entry skills with accuracy and speed.
- Excellent phone etiquette and communication skills.
- Ability to work independently as well as part of a team.
