The Tiverton Lounge & Venue has 69 bedrooms with meeting and event space for 200 delegates, with the flexibility to cater for any kind of event. We have an opportunity for a Group & Events Co-Ordinator to join the team at Tiverton. The Groups & Events Co-Ordinator will be responsible for being both pro-active and reactive in promoting and selling the space to achieve revenue budgets.
The Role of Group & Events Co-Ordinator
The Group & Events Co-Ordinator will be responsible for co-ordinating and maximising conference and event enquiries and bookings. Maintaining regular contact with clients regarding enquiries for conferences and events by telephone, e-mail and in person.
A key aspect of the role is to forge strong working relationships with clients and potential clients to ensure great service delivery at all events & effectively manage the diary to maximise revenue.
The Group & Events Co-Ordinator will use Rez Control for all bookings, keeping accurate and up to date records and creating written confirmations & function sheets to ensure that all details are correct for a successful event.
This is a standalone role that will give the Group & Events Co-Ordinator the opportunity to work closely with the Sales Manager and the Director of Strategy to shape the role and to have a real impact on the business.
This role is ideal for someone who has great communication, time management and an eye for detail. Ideally the candidate will have demonstratable experience working in events or other similar hospitality areas.
Responsibilities will include but are not limited to:
- To arrange show-rounds of the Hotel and all the facilities for new and existing clientele.
- To be committed to fulfilling all the clients' requirements while securing the most profitable terms for the Hotel. Apply upselling techniques to generate incremental revenue.
- To chase prospect and tentative leisure group bookings for confirmation and conversion.
- To chase definite group bookings for a rooming list and create special F&B packages to generate increased revenue.
- To ensure that all accommodation requirements relating to conference business are correctly administrated.
- Prepare all relevant paperwork for the weekly BEO meeting on Thursdays and ensure that all information is communicated to the other departments.
- To handle minor guest and customer complaints with precision, speed, professionalism and according to the Hotel's procedure.
- Deal with all internal bookings to the standard, as and when requested.
- Prepare and ensure the distribution of the daily function sheets (with diverse account and billing instructions).
- Sort out and deal with all incoming mail daily and ensure all information is communicated to the relevant persons as soon as possible.
- All leisure enquiries are to be answered within 4 hours, wherever possible, or eight working hours at the maximum and entered into the system.
