Our company is headed by a team of highly qualified data protection professionals with decades of experience between them. We are looking for an experienced Office Manager to support the business.

The Office Manager will be responsible for HR, finance, and office management, including invoicing, bill payments, bookkeeping, and event organisation. Reporting directly to the CEO, this multifaceted role is central to ensuring operational efficiency and effectiveness across the organisation. The Office Manager will manage a wide range of responsibilities from financial tasks, HR duties, to comprehensive office management, including IT support and website maintenance.

There is flexibility around the role but would expect you to be in our Exeter office at least 3 days a week. This is a home/office-based role. You would work Mon to Fri, our Core office hours are 8.30am to 5.00pm, however we are willing to be flexible for the right candidate.

Responsibilities and Duties

Operational and Financial Management: Oversee daily operations, ensuring operational efficiency and effectiveness. Handle invoicing, chase payments, ensure timely bill payments, and maintain sufficient daily account funds. Oversee budgeting, financial forecasting, and analysis to support strategic decision-making.
HR Functions: Manage recruitment, onboarding, training and development, performance management, employee relations, and HR issues/disciplinaries/action plans, ensuring compliance with local laws.
Office Management: Ensure high standards of office maintenance, including cleaning, supply management (kitchen/toilet supplies), and computer hardware maintenance. Solve simple IT problems and oversee website maintenance.
Event and Travel Management: Book business travel arrangements, organise annual conferences (including venue, food, advertising, and merchandise), and annual staff social events (accommodation, food, etc.).
Administrative Duties: Organise and schedule meetings, prepare meeting agendas, perform research for meetings, and take minutes. Perform reception duties as necessary, manage senior management diaries and schedules, and maintain electronic filing systems.
Project Management: Lead projects where required, ensuring follow-up with team members as required. Maintain strong working relationships with all team members.

You will have:

Proven experience in a similar role.
Excellent communication skills, both verbal and written.
Detail-oriented with the ability to work independently.
Exceptional interpersonal skills for building relationships with clients and team members.
Highly organised, analytical, and adept at problem-solving.
Efficient multitasking and deadline management abilities.
Willingness to travel and accommodate overnight stays as needed (expenses covered by the company).
Proficiency in MS Office and other relevant IT systems.
Initiative to reach across the organisation for solutions.
Must have a driving licence and car (office location considerations).
Work hours: 8:30 AM – 5:00 PM.

It would be a bonus if you also had:

Experience as a PA or in a similar role.
Background in event management and bookkeeping.
Knowledge of data protection laws.
