Attendance Officer

We are seeking to appoint an experienced and proactive Attendance Officer to join our vibrant school team. This is an exciting opportunity to utilise valuable experience in our online school which has a diverse student body where students are located within and outside the UK and which offers a flexible approach to learning. You will need to be flexible and adaptable to changing priorities, ensuring that you deliver a professional and efficient service when dealing with parents/carers, staff, and external agencies; therefore excellent interpersonal skills are essential. Analytical skills are also crucial to the role in order to monitor and analyse attendance data and report on trends. Good working knowledge of ISAMs or a similar management system,

CPOMs (or similar) and Excel would also be advantageous.

Main purpose

● To monitor and report on whole-school attendance data, analysing data to identify key areas of concern

● To work closely with SLT, staff, parents and carers to reduce levels of absence, and act appropriately when persistent absence becomes a safeguarding issue

● To provide a high quality, responsive service to students faced with welfare and safeguarding issues, in accordance with statutory responsibilities and support the DSL making referrals to appropriate agencies when required

● To support the transfer of safeguarding information for students transitioning to the school

● To support the information sharing between schools for dual-enrolled students

● Flexibility to meet rapidly changing priorities and accommodate the needs of our diverse community

Duties and responsibilities

Administration

● Ensure daily attendance registers are accurate and complete, and follow up any matters related to incomplete data

● Follow up on any unexplained absences with parents/carers, escalating issues as appropriate in line with school procedures Initiate and oversee the administration of absence procedures, for example emails home and engagement with local authorities/other external agencies and partner schools for dual-enrolled students

● Maintain accurate records of communications with parents/carers and relevant interventions using CPOMs

● Build and refresh knowledge of the school’s MIS and other relevant systems

● Monitor and manage safeguarding referrals through CPOMS ensuring interventions are timely and responsive, in line with child protection legislation and statutory guidance, Keeping Children Safe in Education (KCSIE)

● Assist with the completion of information requests

● Support the effective signposting of services and referrals by developing good working relationships with other stakeholders including parents/carers, college staff and professionals from external specialist voluntary, statutory and community agencies.

● Be the main contact for parents reporting absences and administer records accordingly, with a deep understanding of how flexible schooling and attendance work

● To be a flexible member of the Safeguarding and Operations Teams, covering colleagues’ duties as required.

Monitoring and reporting

● Produce and interpret attendance reports for school leaders, identifying key statistics, reasons for absence and any patterns of concern

● Track attendance of vulnerable groups of pupils and share information with school leaders

● Identify pupils that need additional support to improve their attendance

● Work with school leaders to identify appropriate interventions to improve attendance for particular groups or individual pupils

● Lead daily or weekly check-ins to review progress and the impact of support/interventions

● Work with school leaders to develop and revise the school’s attendance policy

● Implement children missing education (CME) procedures when appropriate

● Provide regular reports to raise awareness of emerging at-risk pupils

● Ensure that data protection and client confidentiality requirements are met, including the confidential storage of client records, obtaining client permission before sharing information, assessing risk and where appropriate breaking confidentiality in order to ensure the health and safety of individuals.

Working with parents/carers

● Coordinate meetings with pupils and parents/carers to implement interventions and track progress

● Build positive relations with parents/carers to encourage family involvement in their child’s attendance

● Identify, and where possible, mitigate potential barriers to attendance in partnership with families

Professional development

● Take opportunities to build the appropriate skills, qualifications, and/or experience needed for the role, with support from the school

● Take part in the school’s appraisal procedures

● Undergo safeguarding training and maintain up to date knowledge of child protection and safeguarding, including legislation, statutory and inspection guidance.

● Maintain up to date knowledge of attendance legislation and apply within the context of MVA

Other areas of responsibility

Safeguarding

● Work in line with statutory safeguarding guidance (e.g. Keeping Children Safe in Education, Prevent) and our safeguarding and child protection policies

● Be alert to when persistent absence becomes a safeguarding concern and early help may be required

● Work with the designated safeguarding lead (DSL) to promote the best interests of pupils, including sharing concerns where necessary

● Promote the safeguarding of all pupils in the school
